FAQ
Can I attend the conference without renting a car?
You can get from Boston's Logan Airport to the campus via rail, spend the entire Conference on campus without a car, and plans for all meals everyday will be available on Campus. Even transportation to the offered field trips (with one or two exceptions) will be provided.
So yes, you can do it all without a car rental! View more travel information here.
We will also run a ride share board along with announcements at the Conference.
Can I join as a new GNSI member and receive the discount?
Yes! New members can also use the code 25WELCOME50 to receive 50% off of a 1-year digital delivery membership. You will be able to log in and receive the member discount rate immediately.
Along with discounted registration for events, you'll also be able to access other member perks like the Journal of Natural Science Illustration, the job board, the annual juried exhibition, and more.
Will there be a virtual attendance option?
The Guild is a volunteer-run organization and unfortunately we don't have the labor power to create a dual attendance event. However, we recognize that the virtual conferences have been a fantastic tool for accessible outreach. Our current plan is to alternate formats each year. 2025 will be in-person, 2026 virtual, 2027 in-person, and so on.
We will also continue to offer other virtual events year-round.
Love the conference logo! Is there merchandise?
Yes! You can view the merchandise with Hannah Sease's logo here, and can purchase it during registration. There's also a bonus design made by Stephen DiCerbo.
The field trip or workshop I wanted to attend is full. Is there a waitlist?
Yes, if your desired field trip or workshop is full, please email conference@gnsi.org to be added to the waitlist.
Where do attendees eat? Can I still eat meals on campus if don't stay on campus?
See the Meals page here.
Many attendees choose to eat the majority of their meals on campus. It's easy to walk from the presentation halls to the dining area, and many friends and connections are made while chatting over a meal!
Whether you stay on or off campus, you will be able to select meals during registration. Please note that
all meals must be pre-purchased; you will not be able to buy a meal at the door. Vegetarian, vegan, allergy-sensitive, etc. options will be available.
The annual business meeting lunch (Tuesday lunch) and banquet (Wednesday dinner) are included in full core registrations. Field trips that span meal times will offer a box lunch or the option to purchase a meal at the site; check the field trips page for each trip's specifics.
For any other meals you wish to eat off-campus, BSU is a short walk (under a mile) or very short drive to several cafes and restaurants in the town of Bridgewater.
What are the accommodations like?
The Guild tends to host conferences at universities, so our lodging options are campus dorms. Our rooms will be in Crimson Hall, which has a suite-style setup. Whether you pick a single or double room, you will be in a 3-, 4-, or 6-person suite. Each suite has a small common area and at least one bathroom.
You can view a
student's tour of Crimson Hall here.
More information can be found
here.
Attendees are also welcome to find their own accommodations in town.
Do I have to stay for the whole week? What are the earliest and latest check-ins/check-outs?
You can attend as much or as little of the conference as your schedule allows! Check-in starts at 4pm on Saturday, July 12, and is available every following day after 4pm. Check-out is at noon, and is available every day until Sunday, July 20.
If you need to arrive later in the night and check into campus housing, please contact conference@gnsi.org ahead of time so that we can ensure we will be available to check you in.
What should I pack? What do people wear?
There is no required dress code, but our attendees usually err on the nice-but-casual side with full enthusiasm for fun science shirts. If nobody has ever appreciated your slug patterned cardigan before, this is its time. Take a look at the past conference photos in our emails and on the website for a better idea of the usual range.
There will be an annual banquet on Wednesday evening. For this event, we do encourage dressing up slightly.
Keep in mind that we will be in eastern Massachusetts in July, so temperatures tend to be warm in the day but can swing cool in the evenings. Here is some
general guidance. If you are attending an outdoor field trip, the field trip description will have additional tips.
On top of your normal packing list, we also recommend bringing some business cards, your sketchbook, your laptop/iPad, and a small portfolio (digital or physical). Don't forget to check the item list for your selected field trips or workshops too!
What materials are required for the workshops or field trips?
I am an AMI member. Do any activities qualify for CEUs?
Yes, we generally have many CEU-qualified offerings at the conference. We are currently going through AMI's approval process and will publish the information here soon.
How can I spread the news?
What if I need to amend something on my registration?
Email conference@gnsi.org. We will do our best to accommodate changes. Please note that after June 12, certain changes may not be possible.
